Key takeaways
- Open pre-orders 3–6 weeks before each peak and close them 2–4 days before, so the bake list is fixed in time to order ingredients.
- Ask for a deposit on every holiday pre-order; 25–50% is common, full payment for custom work.
- Islamic holidays move about 11 days earlier each year and depend on moon sighting: plan a range, not a date.
- Two Mother's Days a day apart (US and Mexico) means two peak bake days in a row in May 2027.
A bakery’s year is not shaped like a café’s. A café is busy every morning; a bakery is busy every morning and has a dozen days a year when demand doubles, triples or more — and most of that demand can be known in advance, if you take it as pre-orders. This calendar gives the 2026–27 dates of the peaks that matter to bakeries in the US, the UAE and Pakistan, with when to open orders, when to close them and when to bake.
What is a bakery pre-order calendar?
A bakery pre-order calendar is a plan that lists each seasonal peak with four dates: when you start taking orders, when you stop, when you bake, and when customers pick up. It turns a rush you react to into a production run you prepare for, because every order taken before the cut-off is already on the bake list.
The four dates work together:
- Open — far enough ahead that loyal customers order early, which spreads the work.
- Close — late enough to catch most demand, early enough to order flour, butter, fillings and boxes.
- Bake — usually the day before pickup, or two days for items that need to set.
- Pickup — one or more days, ideally with time slots on the biggest days.

How far ahead should a bakery open pre-orders?
Three to six weeks for most peaks. That is long enough for regular customers to plan and short enough that they still remember they ordered. Two kinds of order need longer:
- Corporate gifting — Eid sweet boxes in Dubai and Karachi, mooncake boxes in Flushing and Houston — is decided by office managers weeks ahead. Open six to eight weeks before and send a price list to past corporate customers.
- Tiered and custom cakes for Mother’s Day, quinceañeras and weddings need tastings and design decisions. Open as early as you have capacity and set a design-lock date.
Valentine’s Day is the exception the other way: most people decide in the last two weeks.
When should pre-orders close?
Close standard holiday items two to four days before pickup. That gives you time to:
- order ingredients for the exact quantities,
- schedule staff for the bake and the pickup rush,
- print and assemble boxes and labels,
- and still leave a little capacity for walk-ins.
For custom cakes, close five to seven days before. Put the cut-off on the order form, the receipt and the online store page so nobody is surprised.
Why take a deposit on holiday orders?
Because a holiday pre-order is a promise you pay for in advance: you buy the ingredients, plan the oven and turn away walk-ins to make it. A deposit protects that. It also changes customer behaviour: people who have paid something come to pick up.
Common deposit rules:
- 25–50% on standard holiday items (Rosca, pies, mooncake boxes),
- 50–100% on custom or tiered cakes,
- Full payment on corporate orders below a certain size, or an invoice on agreed terms for regular companies.
Our guide to writing a bakery deposit policy has wording you can copy, and the pre-orders and deposits feature shows how the deposit and balance live on the order.
Peak by peak: what to plan
Rosca de Reyes (January 6)
For many panaderías this is the biggest order day of the year. Families order one to three Roscas, offices order several, and almost everyone wants pickup on January 5 evening or January 6 morning.
- Open December 1. Put the sizes (small, medium, large, extra-large) on the online store.
- Offer two pickup days and, on January 6, pickup windows by hour.
- Bake list: the January 5 list should show pre-ordered Roscas by size plus a par for walk-ins.
- Don’t forget the figurine. If you include the niño, decide whether it goes in before baking or is supplied separately, and say so.
Tết and Lunar New Year
Vietnamese and Chinese bakeries see gift-box orders, cakes and festive breads. Open in mid-January and keep box contents fixed so ordering stays simple.
Ramadan and Eid al-Fitr
Ramadan shifts trade to the hours before iftar, with sweets and pastries sold by weight in large volumes. The pre-order peak is the end of the month: Eid sweet boxes for families and companies.
- Sell by weight from scale labels so the counter keeps moving; see weighing scales.
- Offer two possible Eid pickup days because of moon sighting, and confirm the day before.
- Track lots and dates on boxed sweets, which are often bought a few days early; see expiry and lot tracking.
Mother’s Day and 10 de Mayo
In 2027, the US Mother’s Day is Sunday, May 9, and the Mexican Día de las Madres is Monday, May 10. A panadería serving both communities has two peak cake days back to back. Print the production lists for both days on the Friday, give decorating its own sheet, and stop taking custom cakes for the weekend by Wednesday. The production list feature shows how pre-orders and par levels combine.
Mid-Autumn (mooncakes)
Mooncake boxes are pre-ordered for weeks, often by companies. The fillings are expensive, so cost the recipe in August when your suppliers quote and set the box price then; see recipe costing.
Día de Muertos
Pan de muerto sells from mid-October from the case, with a pre-order peak in the last week. A simple online pre-order with pickup on October 31 and November 1 takes pressure off the counter.
Thanksgiving
US pie orders typically close the Sunday or Monday before, with pickup all day Wednesday. Use pickup time slots to spread the queue, and put the reheating instructions on the label.
How do you put the calendar into your POS?
- Create the seasonal products (with sizes as variations) a week before you open orders.
- Make them visible on the online store with the allowed pickup dates.
- Set the deposit rule your staff follow at the counter.
- Print the production list for each pickup day before you lock up the night before.
- After the season, check the sales report by product and day and note next year’s pars.
If you’re setting up for the first time, start in a quiet week — here’s how setup works, and the online store is generated from your catalogue as you add the seasonal products.
