Key takeaways

  • In the US, date labels are mostly voluntary federally; in the UAE and Pakistan, packaged food is expected to carry production and expiry dates.
  • A lot number on every batch lets you trace any box back to its bake.
  • Sell first-expired-first-out (FEFO), not just first-in-first-out.
  • This guide is orientation, not legal advice — check your local authority.

A customer picks up a box of mooncakes and asks: “When was this made?” Or an inspector checks the shelf before Eid. Either way, the answer should be on the label, and in your system. This guide explains date marking for bakeries in the three markets we serve and how to manage it without extra paperwork.

Do bakeries have to print expiry dates?

It depends on the market and on whether the product is prepackaged. Food sold unwrapped from the case is treated differently from boxed or wrapped goods almost everywhere. For prepackaged bakery products:

Market Date marking Regulators to check
USA Largely voluntary at federal level (infant formula excepted); some states regulate dates; labels must meet FDA rules for packaged food FDA; state and local health departments
UAE Production and expiry dates expected on prepackaged food under the GSO labelling standards Emirate authorities, e.g. Dubai Municipality, ADAFSA, Sharjah Municipality
Pakistan Date marking required on packaged food under provincial food rules Provincial food authorities, e.g. Punjab Food Authority, Sindh Food Authority

This is a summary for orientation, not legal advice. Rules change and local enforcement varies — check with your authority before you print labels.

Best-by, use-by, production date: what’s the difference?

  • Production (manufacturing) date — when it was made. Common in the UAE and Pakistan.
  • Best before / best by — quality: the product is at its best until then. Most baked goods.
  • Use by — safety: for highly perishable foods (cream-filled items under refrigeration in some contexts).

Pick one approach per product and use it consistently.

Why lot numbers matter for a small bakery

A lot number identifies the batch: for example L-0106-A, the first batch baked on January 6. Print it on the label and record it on each sale. Then:

  • a customer complaint can be traced to a batch,
  • if a supplier recalls an ingredient, you know which products used it and when they sold,
  • and you can show an inspector how you manage stock.

FEFO: sell the right box first

First expired, first out beats “first in, first out” when deliveries and bakes overlap. A batch baked later with a shorter shelf life should leave before an older batch that keeps longer. A POS that tracks lots picks the nearest-expiry lot automatically at the till.

Setting shelf life per product

Shelf life comes from your recipes and your testing, not from a table. As a starting point many bakeries use:

Product Typical shelf life
Bread, conchas, buns 1–3 days at room temperature
Cream and fresh-fruit cakes 2–4 days refrigerated
Butter cakes, loaf cakes 4–7 days
Boxed mithai 3–10 days depending on type
Baked mooncakes Several weeks (follow your recipe testing)

Set the shelf life on the product so each new lot gets its expiry date automatically, then adjust for what you see in returns and complaints.

Day-old and markdowns

Use the alert window before expiry to sell at a discount (“day-old”) rather than writing off. A POS that alerts you before the date lets you move stock deliberately and see, in the report, what was marked down versus thrown away.

How GetBakeryPOS handles it

  • Lots and expiry dates per batch, from production or deliveries.
  • Labels print the lot and date.
  • The register sells the earliest-expiring lot first.
  • Alerts before expiry, and an option to block expired sales.

See expiry & lot tracking, and for printing, the hardware guide. Local context: Dubai, Abu Dhabi, Lahore, Karachi.

Questions about this topic

Do bakeries have to put expiry dates on products?

It depends on where you sell and whether the food is prepackaged. In the US, federal date labelling is largely voluntary except for infant formula, though some states have rules. In the UAE and Pakistan, packaged food is expected to show production and expiry dates.

What is the difference between best-by and use-by?

Best-by (or best before) is about quality: the product is at its best until then. Use-by is about safety and is used for highly perishable foods. Most baked goods carry best-by dates.

What is a lot number on a bakery label?

A code that identifies the batch an item came from, usually the bake date plus a batch letter. It lets you trace complaints and recalls to a specific bake.

How long do bakery products last?

It varies: bread and conchas 1–3 days, many cakes 3–5 days refrigerated, mooncakes and some boxed sweets weeks. Set shelf life per product from your own testing.

Can the POS stop expired items from being sold?

Yes. GetBakeryPOS tracks expiry per lot, alerts before items expire, and can block sale of expired stock.

What is FEFO?

First expired, first out: always sell the stock with the nearest expiry date first.
